How to Manage Your Guest List on Omnicassion

Managing 300 guests from three different family sides, tracking RSVPs, dietary preferences, seating arrangements, and invitation dispatch is genuinely hard. Omnicassion's Guest List Manager brings all of this into a single, clean interface so you never lose track of a single guest.

What the Guest List Manager Does

The Guest List tool is a full-featured attendee management system that tracks every person attending your event. It handles RSVPs, meal preferences, plus-ones, group assignments, and more — without needing a separate spreadsheet.

Step 1: Access Your Guest List

From your Event Hub, click Guest List. You'll see the main guest list dashboard with a summary of total invited, confirmed, and pending RSVPs, along with a breakdown by side (e.g., Bride's Family, Groom's Family, Friends).

Step 2: Adding Guests

Click + Add Guest to add a new person. Each guest record includes:

Full Name
Phone Number — For WhatsApp invitation delivery
Email — Optional for digital invitations
Guest Group / Side — Bride, Groom, Friends, Corporate, etc.
RSVP Status — Invited, Confirmed, Declined, Waitlisted
Meal Preference — Veg, Non-Veg, Jain, etc.
Plus Ones — How many additional guests they are bringing
Table / Seating — Assign a seating group or table number
Notes — VIP status, special requirements, relationship notes

Step 3: Import Guests in Bulk

Have a long list already in Excel or WhatsApp? Use the Import feature to upload a CSV file with guest names and contact details. This saves hours of manual entry for large guest lists.

Step 4: Tracking RSVPs

As you contact guests and receive responses, update their RSVP status. The dashboard shows live counts:

Total Invited
Confirmed Attending
Declined
Awaiting Response
Confirmed Guest Count (including plus-ones)

These live numbers feed directly into your Budget tool — catering estimates automatically update when your confirmed guest count changes.

Step 5: Filtering and Searching

For large guest lists, use filters to view:

Guests by group (Bride's side, Groom's side)
Unconfirmed RSVPs only (great for follow-up calls)
Guests with special dietary needs
VIP guests who need special attention

Step 6: Seating and Table Management

Assign guests to tables or seating zones using the seating field. You can create named table groups (Head Table, Family Table A, Friends Zone) and assign guests to them. This simplifies coordination with your venue and caterer.

Start your guest list at least 4–6 months before the wedding so you have time for RSVPs
Set a firm RSVP deadline — typically 4 weeks before the event — and follow up with non-responders personally
